Creative approval software is a client-facing review system for deliverables such as documents, campaign assets, presentations, websites, video, and other work that needs a decision before it moves forward. The category is broader than file sharing and narrower than full project management.
The buying mistake is to compare screenshots instead of the approval path. A beautiful proofing screen is not enough if your team still has to copy the decision into a project board, email the signed version, and explain to the client where the next file lives.
Start with the approval job
Write the sentence your team needs to complete:
“The client reviewed [specific item], gave [feedback or approval], and the team can now [next action].”
If the software cannot help you complete that sentence without extra manual work, it is probably a viewer or a file drop rather than an approval workflow.
Seven capabilities worth comparing
1. Version clarity
The client should know which version is current and what changed since the previous one. Look for visible statuses, a usable version history, or a workflow that makes it hard to approve an outdated attachment.
Do not confuse a filename with version control. homepage-final-v8.pdf is still ambiguous if another file arrived in a later email.
2. Feedback in context
Useful feedback is connected to the item being reviewed. Depending on the asset, that may be a document comment, a page reference, a timestamp, or an annotation. Ask what kinds of context the tool supports for your actual deliverables.
This is also where you should test mobile use. A client who can review a file only on a large monitor may still postpone the decision until the deadline.
3. A clear approval action
The action should be explicit. “Looks good” in a chat thread is not the same as approving the current version for production. Look for a clear approval state, the ability to request changes, and a record of the response.
If the tool treats every comment as approval, your team will eventually ship a suggestion that was never authorized.
4. Stakeholder handling
Many approvals involve more than one person. A brand manager may give feedback, a marketing lead may approve the direction, and procurement may need a signed agreement. Compare how the tool handles multiple reviewers, sequential decisions, and a final owner.
Avoid assuming that “share with a team” means the tool can manage an approval chain. Test the exact roles your clients use.
5. Internal and external views
Your team may need private review before the client sees the item. The client may need a curated view of status, context, and the action requested. A tool that exposes internal discussion by default can create more risk than it removes.
6. What happens after approval
An approval should connect to the next step: production, publishing, delivery, or signature. It does not have to automate every step, but the owner and state should be obvious. Otherwise the team has simply replaced one ambiguous email with one ambiguous button.
7. Record and retrieval
Find out where the decision lives after the project moves on. Can your team find the approved version, the feedback, the person who responded, and the next action without searching several inboxes?
For legal, regulated, or high-value work, ask about the provider’s record-keeping and retention behavior directly. Do not infer an audit trail from a generic activity feed.
How the main approaches compare
Approach
Useful for
Common failure
Email attachments
Small, low-stakes reviews
Version confusion and scattered replies
Shared file folder
Simple access to current files
Weak context around the decision
Project management tool
Internal owners and deadlines
Client view may expose too much or feel unfinished
Proofing tool
Visual comments and asset review
The approved result may still live elsewhere
Client portal with approvals
Shared context, actions, and delivery
Requires a team habit to keep it current
The “best” option depends on the asset and the cost of a wrong or delayed decision. A video team may prioritize time-coded review. A consulting firm may care more about document context and signatures. An agency handling many formats needs to test the full workflow rather than one favorite asset.
A buying test you can run in one afternoon
Choose one real deliverable and invite a teammate to act as the client. Give them the link with no extra explanation. Ask them to find the current version, understand the requested decision, leave one useful comment, approve the work, and return later to find the result.
Record every question they ask. Then ask your internal owner to move the item to the next state. The questions reveal the product gaps. The handoff reveals the workflow gaps.
Where Docsiv fits
Docsiv is designed for agencies that need client review to sit next to the documents and portal where the rest of the engagement lives. Teams can share supported documents, comments, approvals, and signing workflows in a branded client space. For media or specialized creative annotation, compare the exact asset support you need before committing to any platform.
You can pair this workflow with document analytics to understand available view activity and with the AI document creation workflow when the first draft is the slowest part of the process.
The test is simple: after the client approves, can your team tell what was approved, by whom, and what happens next? If not, keep comparing.

What is creative approval software?
Creative approval software is a client-facing review system that helps teams share a deliverable, collect contextual feedback, capture a decision, and move the approved work to its next state.
What features should creative approval software have?
Compare version clarity, feedback in context, explicit approval and change-request actions, reviewer roles, internal and external views, post-approval handoffs, and retrieval of the final decision.
Is a project management tool the same as creative approval software?
No. Project management tools organize internal work, while creative approval software focuses on the client review and decision. Some products offer both, but the client-facing experience still needs to be tested.
How do I test a creative approval tool?
Use one real deliverable. Ask a teammate acting as the client to find the current version, understand the decision, leave feedback, approve it, and return later to find the result. Track every question and handoff failure.
